Setting Up Emails
HostBilling sends various emails that include notifications, reminders, and order details. By default, it uses the default transactional email server. However, you can customize it to send emails using your own accounts.
Setup SMTP
This documentation explains configuring HostBilling to send emails using an SMTP server. Using SMTP can improve email deliverability and provide more control over your outgoing email settings.
Prerequisites
- Valid SMTP Account: Ensure you have the SMTP credentials (host, port, username, password) from your email provider.
- Network Accessibility: Confirm that your SMTP server accepts SMTP connections (firewall rules and network configurations may apply).
Step-by-Step Instructions
1. Log In to the HostBilling Backend
2. Navigate to Email Settings
- Once logged in, go to Settings.
- Select the Email tab to view your email configuration settings.
3. Configure SMTP Settings
- Mail Type: In the "Add New Provider" form, set the type SMTP.
- SMTP Host: Enter the SMTP server address provided by your email provider (e.g., smtp.example.com).
- SMTP Port: Specify the port number. Common ports include:
- 25 or 587 for non-encrypted or TLS connections.
- 465 for SSL connections.
- SMTP Username: Enter your email username or the full email address.
- SMTP Password: Input the corresponding password for the SMTP account.
- Encryption: Select the encryption method if applicable (None, TLS, or SSL) based on your provider's recommendation.
4. Save Your Settings
- After filling in all the SMTP details, scroll down and click Save Changes.
- HostBilling will now use these settings to send emails through the specified SMTP server.
Troubleshooting Tips
- Connection Issues: Verify that your hosting provider isn't blocking outbound SMTP connections.
- Authentication Errors: Double-check your SMTP username and password. Some providers require an application-specific password.
- Encryption Problems: Ensure the encryption method (TLS/SSL) and port number match your provider's requirements.
- Provider Restrictions: Some email providers limit the number of emails sent or require additional configuration (e.g., enabling "less secure apps" in Gmail).
Additional Considerations
- Multiple SMTP Servers: If you have multiple SMTP servers, choose the one with the best deliverability and reliability.
- Email Deliverability: Monitor email deliverability after configuration. Consider using email testing tools to check if your emails are flagged as spam.
